How to write an equipment specification suppliers can actually quote
A clear specification gets you comparable quotes in days, not weeks. Here is the structure we use with every customer.

Start with the clinical need
Describe what the device must do for patients and staff before you name a model. Volumes, acuity and workflow matter more than brochure features.
Separate must-haves from preferences
Mark each requirement as essential or desirable, so suppliers can offer alternatives without guessing what you will reject.
Ask for total cost of ownership
Request five-year pricing for consumables, service and software, not just the purchase price.
Include the context
Describe the room, the patient population and the services the equipment will support. A supplier who understands the context can recommend alternatives you had not considered.
Ask for the documents up front
Request warranty terms, service options, consumable pricing and training plans with the quote, not after the purchase order. It saves weeks of back and forth.
Plan the handover
Agree who installs, who trains, who accepts and when. A clear handover plan is part of a good specification, not an afterthought.
